The Communications & Program Manager, Data & AI is a highly visible, trusted partner to the Chief Data & AI Officer (CDAIO) and their leadership team. This role blends executive communications, governance support, and program coordination to ensure Data and AI initiatives are clearly communicated, well-governed, and delivered with rigor.

You will lead the creation of bilingual (English/Spanish), executive- and Board-ready communications and presentations, manage the CDAIO’s executive workflow, and coordinate senior-level committee operations. The role also establishes and maintains the operating cadence across the Data & AI portfolio, structuring milestones, dependencies, risks, and deliverables using Microsoft 365, Planner, and Jira.

Responsibilities

  • Develop Management Committee and Board of Directors–ready presentations from draft content, including storyline development, executive-level visuals, and speaker notes.

  • Ensure all materials meet high standards for editorial quality, executive storytelling, and brand alignment.

  • Draft executive summaries and talking points; prepare bilingual (English/Spanish) materials as needed.

  • Maintain presentation templates and standards to ensure consistent, high-quality outputs.

  • Prepare daily and weekly executive briefings highlighting decisions, risks, deadlines, and pre-read materials.

  • Coordinate all aspects of the AI and Data Committee (AIDC), including agendas, timelines, pre-reads, minutes, and action tracking.

  • Produce structured reporting for steering and management forums, consolidating inputs into clear, executive-ready packets.

  • Act as a high-exposure liaison with senior leaders, committee and Board contributors, vendors, and partners.

  • Handle confidential and sensitive information with discretion and sound judgment.

Executive & Operational Support

  • Support the CDAIO with calendar management and inbox triage, protecting focus time and coordinating with internal and external stakeholders.

  • Support CDAIO teams with coordination of vendor sessions, demos, and event logistics.

  • Maintain official Teams and SharePoint repositories, ensuring version control, permissions, compliance, and historical recordkeeping.

Program & Portfolio Management

  • Support Data & AI teams in tracking KPIs, outcomes, and budget items (POs, accruals, actuals vs. plan), preparing concise variance explanations and forward-looking obligation summaries.

  • Establish and maintain portfolio trackers and RAID logs, ensuring active dependency management and timely status reporting.

  • Standardize operating cadence through templates, defined inputs, and regular check-ins.

  • Support OKR and quarterly reviews; escalate decisions to the CDAIO with clear context and options.

  • Facilitate cross-functional working sessions, capturing actions, owners, and due dates and ensuring follow-through to closure.

  • Build, maintain, and continuously improve Microsoft Planner and Jira plans, boards, templates, and dashboards; coach team members and ensure data quality for reporting.

  • Integrate tools seamlessly with Teams and SharePoint environments.

  • Operate independently in execution and follow-through while appropriately escalating decisions and trade-offs.

  • Influence without authority to drive cross-functional alignment and quality standards; may coordinate contractors and vendors.

Qualifications

Education

  • Bachelor’s Degree in Communications, Graphic Design, or Business Analytics (required)

  • Advanced degree or Project Management certification (CAPM/PMP) preferred

Experience & Skills

  • 6–10+ years supporting C-level executives as an Executive Assistant, Executive Business Partner, and/or Program or Project Coordinator/Manager

  • Experience in Technology, Data, AI, or similarly complex enterprise environments

  • Advanced proficiency in Microsoft 365 (PowerPoint, Teams, SharePoint, Excel)
