Summary
Provides the full range of administrative support to assigned senior level executives including members of the Board of Directors, Management Committee and departments as required. Independently manages and executes a variety of special projects in support of executive priorities and organizational objectives. Acts as a communications liaison representing the executive's office to all levels of employees internally and externally, handling highly sensitive, confidential, and/or complex matters. May additionally provide administrative support to other managers and staff.
Responsibilities
- Ensure all meetings, appointments, and travel arrangements are scheduled efficiently and changes are communicated promptly. Makes recommendations proactively.
- Maintains timely, clear and professional communication between executives, internal team members and any external stakeholders.
- Assists in preparing, organizing, and storing confidential material.
- Acts as a resource to internal and external personnel at all levels, responding to or directing inquiries as appropriate.
- Investigates and resolves questions regarding a range of sensitive, confidential, and/or complex departmental matters. This may also include managing executive level mail, emails and assigned work.
- Provide coverage for other executive assistants as needed.
- Assists with and leads as needed onsite and offsite events.
- Makes recommendations regarding process improvements, procedures, etc.
- Assumes additional responsibilities, complete special projects and support functions as requested.
- Management has identified this position to require essential personnel. In the case of severe weather or other emergency situations, specific key individuals who are in this position may be required to report to work, regardless of the company being closed.

Qualifications
- Bachelor's Degree or professional level of knowledge in a specialized field, or equivalent, related experience.
- 2 - 4 years - or Associates Degree equivalent plus 4 - 6 years.
- A Bachelor’s degree is highly desirable.
- Expert knowledge of administrative procedures, guidelines and policies.
- Excellent interpersonal, written and oral communication, and organizational skills required for internal and external communication at all levels.
- Thorough knowledge of and proficiency with MS Office suite of applications to develop presentations, analyses and communications.
- Demonstrated experience successfully adapting in a fast-paced environment required.
- Diplomacy and ability to maintain confidentiality are essential. Bilingual (Spanish/English) skills are a plus.

Pay Philosophy: The typical starting salary range for this role is determined by several factors including skills, experience, education, certifications, and location. Some roles at Mapfre are eligible for commission and/or bonus earnings, in addition to salary, calculated based upon factors set forth in the compensation plan for the role.
Salary Range: $68,000 - $80,000
