Summary:

 

The Executive Assistant provides comprehensive administrative support to assigned senior‑level executives within the Information Technology Leadership Team, including members of the Management Committee, as well as departmental leaders as needed. This role independently manages a wide range of special projects, including the preparation of reports and analyses. Serving as a key communications liaison, the Executive Assistant represents the executive office with professionalism and discretion when interacting with employees at all levels and external stakeholders. The position may also provide administrative support to additional managers and staff as required.

 

Responsibilities:

 

  • Efficiently manage and coordinate all meetings, appointments, and travel arrangements, ensuring timely communication of updates or changes and proactively offering recommendations.
  • Maintain clear, timely, and professional communication between executives, internal teams, and external partners.
  • Assist in preparing, organizing, and securely storing confidential materials.
  • Serve as a knowledgeable resource to internal and external personnel at all levels, responding to or directing inquiries appropriately.
  • Investigate and resolve questions related to sensitive, confidential, and/or complex departmental matters, including managing executive‑level mail, email, and assigned tasks.
  • Provide coverage and support for other Executive Assistants as needed.
  • Assist with, and when required, lead the planning and execution of onsite and offsite events.
  • Recommend improvements to processes, procedures, and administrative workflows.
  • Take on additional responsibilities, special projects, and support functions as assigned.
  • Management has identified this position to require essential personnel. In the case of severe weather or other emergency situations, specific key individuals who are in this position may be required to report to work, regardless of the company being closed.
  • Perform other duties as requested.

 

 

Qualifications:

 

  • Bachelor’s degree or equivalent professional knowledge in a specialized field; or an Associate’s degree with 4–6 years of relevant experience.
  • A Bachelor’s degree is highly desirable.
  • Expert knowledge of administrative procedures, guidelines, and policies.
  • Exceptional interpersonal, written, and verbal communication skills, with the ability to interact professionally at all organizational levels.
  • Strong organizational skills and attention to detail.
  • Advanced proficiency in the Microsoft Office Suite, with the ability to create presentations, analyses, and executive‑level communications.
  • Demonstrated ability to thrive in a fast‑paced, dynamic environment.
  • High level of diplomacy, discretion, and the ability to maintain strict confidentiality.
  • Bilingual skills (Spanish/English) are a plus.

Pay Philosophy: The typical starting salary range for this role is determined by several factors including skills, experience, education, certifications, and location. Some roles at Mapfre are eligible for commission and/or bonus earnings, in addition to salary, calculated based upon factors set forth in the compensation plan for the role.

 

Salary Range

$75,000 - $81,400
