Administrative Coordinator - Product
Webster, MA, US
This is a hybrid role (3 days in our Webster, MA office/2 days remote)
Salary Range: $55,000 - $65,000
Summary:
As a Product Analyst / Product Administrator you’ll play a key role in supporting the development and maintenance of our insurance products. You’ll also manage critical administrative functions for our Technical Teams, including vendor relationships, contract renewals, and invoice tracking. This is a high-impact role with visibility across departments and opportunities to lead initiatives that drive efficiency and growth.
Responsibilities:
Handling Vendor contracts for Technical Team, including:
- Understand current services/usage per State working with various Business Leads
- Understanding of contract language and ability to coordinate alignment with Vendor and Legal
- Ability to negotiate pricing and terms while identifying opportunity for expense savings
Handling invoices and renewals, including:
- Validation of invoices aligning with contract and expected usage
- Allocation of invoices to applicable State
- Ability to Identify increase/decrease in monthly charges, that stand out as potential programming issues either internally or externally with Vendor
- Coordinate and lead renewal discussions with Business Lead and Vendor, including preparing PowerPoints for Technical Committee review
Main point of contact for Vendor relationship with all Business Leads
- Demonstrate excellent customer service and communication skills while interacting with Vendors and Business Leads
- Maintaining regular contact with Vendors: calls, meetings, emails, business reviews, audits
- Communicates difficult decisions to valued vendors while maintaining a supportive relationship
We also handle many administrative steps, including:
- Working with internal Vendor Management Office to coordinate DocuSign
- Maintain Vendor templates housing documentation on services, terms, pricing, etc.
- Tracking invoices, submitting payments for processing
Skills/Abilities:
- Attention to detail with ability to manage multiple tasks/priorities while working in a fast-paced environment with limited supervision.
- Flexibility to handle assignments in various states of completion at the same time
- Basic project management skills.
- Excellent verbal, written communication and presentation skills.
- Working knowledge of market and regulatory research tools, including rate and form circulars issued by rating bureaus.
- Strong mathematical aptitude and analytical skills required.
- Quantitative analysis and critical thinking skills.
- Intermediate experience using Microsoft Excel, Word, PowerPoint and Access.
- Ability to lead cross functional teams to make critical product and pricing decisions for assigned states/lines of business.
- Assist in the training process when appropriate
- Ability to identify inconsistencies in contracts, invoices, and programming
Qualifications:
- Education: Bachelor's Degree or professional level of knowledge in a specialized field, or equivalent, related experience.
- Experience: 2 - 4 years - or Associates Degree equivalent plus 4 - 6 years.
