Personal Assistant

We are currently looking for a highly motivated, proactive and with great initiative teamplayer to assume the position of Personal Assistant for the MAPFRE RE office in London.
 

Functions

 

  • Organize and schedule meetings, appointments/ diary management as well as scheduling travel plans and itineraries.                   
  • Be the face of the organization by welcoming external visitors into the organization and answering incoming calls and queries.                
  • General administration: managing, controlling and executing all administrative functions and responsibilities for matters and internal changes in line with company policy, as well as preparing expenses and control office related invoices and ordering office supply equipment.  
  • Serve as the point person for maintenance, mailing, shopping, supplies, equipment, bills, and errands. Coordinate with IT department on all office equipment.   
  • Manage relationships with vendors, service providers, and landlord.                         
  • Reviewing and updating health & safety policies and ensuring they are observed.                
  • Planning, organizing and managing events.                      
  • Other functions: support the underwriting team with data registration under tight deadlines and/or busy periods.

 

Requirements

 

  • Proven PA, office management, administrative or assistant experience at least 3 years.                             
  • Excellent time management skills and ability to multi-task and prioritise work                        
  • Attention to detail and problem solving skills                           
  • Excellent communication skills, both verbal and written                                 
  • Ability to run with a brief under minimal supervision and present the completed task in a precise manner.                            
  • Organised, proactive and enthusiastic teamplayer                             
  • Proficiency in MS Office         
  • Spanish knowledge will be a plus.
