We are currently looking for a highly motivated and an outgoing professional to lead the position of Office Manager for the management centre located in Munich, Germany. 

Key Responsabilities

Administration Work

  • Accounting & Treasury - Prepare and submit the necessary documentation for accounting and treasury to headquarters on a monthly basis.
  • Travel arrangements – Coordinate Hotel and transfer reservations and prepare travel expense reports.

Office operation

  • Reception - Support & hospitality for business partners, customers, and guest.
  • Liaison: Act as the liaison between building management and the company to ensure a fully functional office environment.
  • Office supplies management – Monitor and maintain stock levels for kitchen items, restrooms, and general office supplies.
  • Logistics management – Control incoming and outcoming documents and emails. Organize courier services, deliveries.

IT-Support

  • Hardware Supplies Management – Monitor and maintain stock levels for equipment and accessories. 
  • IT Intermediation - Liaise with the IT team in Madrid to resolve office-related issues.

  • Valuable professional education or proven experience as administrative position.
  • A real team player who is open to inquiries from our employees, customers, and service providers.
  • Strong organizational skills and ability to prioritize multiple tasks seamlessly with a strong attention to detail.
  • A friendly and service-oriented work attitude.
  • Proven experience in working with figures.
  • Digital competence with, for example, MS Teams or other Office applications.
  • Excellent communication and interpersonal skills with the ability to work in business German and Spanish, both oral and written. Knowledge of English is a plus.
