Century Automotive Service Corporation, a MAPFRE USA Company, based in Albuquerque, New Mexico, is a leading provider of extended warranty programs and ancillary finance and insurance products. Century currently markets its products through specialized F&I (Finance & Insurance) Agencies that have relationships with car dealerships around the United States.

 

Receptionist/Office Services Coordinator

 

This position pays up to $18 / hour, to include comprehensive benefits on Day One

 

Schedule:  Monday through Friday, 8:00 a.m. to 5:00 p.m. MT; overtime as required

 

Job Summary:

This position is responsible for receipt and distribution of mail, incoming packages and faxes, receipt and documentation of incoming checks, ordering office supplies, mailing of claims checks and backup. Additional responsibilities include prompt and courteous service to both internal and external customers.

 

Essential Duties and Responsibilities:

  • Listen to the afterhours voicemails and distribute to recipient(s) and manage company attendance calendar
  • Open all faxes and distribute to recipient(s)
  • Log in all incoming FedEx and UPS deliveries.
  • Open all mail, date stamp, and distribute to recipient(s)
  • New business batch labeling
  • Provide monthly production reports to executive management
  • Manage recycling of paper and ink cartridges
  • Match claims checks with backup information and mail daily
  • Inventory office and kitchen supplies weekly and order as needed
  • Maintain orderliness in Conference Rooms and common areas
  • Acting back up for Operations Clerk
  • Assisting and organizing company planned events and external guest visits
  • Special projects or other duties as assigned

 

Competencies:  Strong organizational skills with the ability to multi-task and adjust priorities throughout the day.  Must be comfortable working in a fast paced environment. Must possess good customer service skills with the ability to actively listen and solve problems. Must have the ability to work independently or as part of a team. Must be able to maintain confidentiality with sensitive information.

 

Communication:  Strong interpersonal, written and verbal communication skills, with the ability to effectively communicate with employees at all levels of the organization, customers, agents and clients.

 

Excellent Client / Customer Service:  Must possess a customer service attitude and be able to ensure all internal and external customer interactions are handled in a professional and courteous manner.

 

Strong decision-making skills:  Must be able to analyze and/or gather all available information for the formulation of sound decisions to effectively resolve a variety of issues.

 

Analytical skills:  Must be detail-oriented and accurate.

 

Education and/or Experience:  Must possess a high school diploma or equivalent.  

 

Computer Skills:  Must be proficient with computers and software applications, including, but not limited to Microsoft Office. 30 wpm typing speed preferred.  Ability to learn and work within specialized systems and programs that is pertinent to the business.
